Review payouts and payslips

Use this when... you need to check tutor earnings, owner payouts, payslip records, payment status, or the relationship between lessons delivered, parent payments, and tutor pay.

Before you start... confirm your business model, tutor employment status, billing rules, and payout process. Tuition businesses can handle tutor pay in different ways, so do not assume every tutor is paid from the same fund flow or on the same schedule.

What to check before payout review

Payout and payslip review depends on accurate lesson, attendance, billing, and payment data. If attendance is missing or invoices are unpaid, the payout view may not tell the whole story. Start by checking whether the underlying lessons and invoices are complete.

Separate three questions: what was taught, what was billed, and what is payable. A lesson may have happened but not yet been invoiced. An invoice may be issued but not yet paid. A tutor may be owed under one model but not another.

Step 1: Select the review period

Choose the week, month, payroll period, or custom date range you need. Confirm whether the report is based on lesson date, invoice date, payment date, or payout date. Mixing these dates can create confusion.

Expected outcome: everyone understands which period and calculation basis are being reviewed.

Step 2: Check lesson and attendance data

Open Scheduling if totals look unusual. Confirm attended sessions, cancellations, no-shows, cover lessons, and missing outcomes. Pay-related disputes often start with attendance status, not the payout page itself.

Step 3: Review tutor pay lines

Check tutor, student or group, session date, rate, duration, status, and any adjustment. If a tutor has different rates by subject, level, group, or employment model, confirm the right rate was used.

Step 4: Compare against payments and invoices

If your process depends on parent payment, compare payout readiness with invoice payment status. If your process pays tutors independently of parent collection, still use billing data to spot exceptions and disputes.

Common mistakes

  • Reviewing payouts before attendance is complete. Missing attendance can understate or overstate payable lessons.

  • Confusing invoice revenue with tutor pay. Tutor earnings may use different rules from parent charges.

  • Ignoring cover lessons. A substitute tutor may need pay even if the regular tutor is assigned to the student.

  • Using the wrong period basis. Lesson date, invoice date, and payment date answer different questions.

Troubleshooting

A tutor says a lesson is missing: search Scheduling by tutor and date. Check whether the session was cancelled, assigned to another tutor, or missing attendance.

A payslip total looks wrong: review pay lines, rates, adjustments, and period filters before editing anything.

A payout is delayed: check payment provider status, invoice payment state, organisation payout settings, and whether any compliance or account setup is incomplete.

Approval and audit

Use a consistent approval process. Record who reviewed payouts, what period was approved, and whether any manual adjustments were made. Keep sensitive pay details visible only to authorised users.

Manual adjustments

Use manual adjustments carefully. They may be needed for bonuses, corrections, cover lessons, training, travel, clawbacks, or exceptional agreements, but every adjustment should have a reason and an owner. Avoid using adjustments to hide underlying session or rate errors that should be corrected at source.

Communicating with tutors

When a tutor asks about pay, answer from the pay lines and session records. Include the period, lesson dates, and status where helpful. Avoid sharing parent payment details unless your policy says tutors should see them.

Export and archive

If your finance process exports payslip or payout data, keep the export name, period, and approval date clear. This helps reconcile later questions and prevents the same period being exported twice.

Dispute handling

If a tutor disputes a payout, review the underlying sessions first before making any changes. Check attendance, duration, rate, assignment, and any cover arrangement before changing totals.

After payout review, correct any session or pay-line issues, approve or export the payslip data according to your process, and notify tutors only after totals have been checked.
