How to prepare, review, and issue invoices in TuitionFlow without losing the link to lessons, attendance, payments, and credits.

Use this guide when you are ready to bill a family for lessons, packages, charges, or adjustments. It explains the practical checks admins should make before issuing invoices in TuitionFlow.

Before you start…

Confirm the family and billing contact are correct, relevant sessions have saved attendance outcomes, rates and packages are correct, and payment collection is configured. If you use Stripe, make sure Stripe Connect is ready before inviting parents to pay online.

Prepare the invoice period

Start by deciding the billing period and what should be included. Check whether you are billing attended sessions, scheduled sessions, package activity, cancellation charges, manual adjustments, or credits. Use filters to review the right date range and family.

Review candidate lines

Before issuing, review the invoice lines. Check the student, tutor, subject, lesson date, quantity, rate, and total. If something looks wrong, fix the source record where possible rather than editing around it on the invoice. This keeps reporting and reconciliation cleaner.

Check attendance and cancellation treatment

Invoices often depend on attendance and cancellation rules. Look for sessions still marked Scheduled, especially in the invoice period. Confirm no-shows, late cancellations, excused cancellations, and tutor cancellations are treated according to your policy.

Apply credits and adjustments deliberately

If the family has account credit, a refund, or an agreed adjustment, apply it clearly. Add notes where needed so a future admin can understand why the invoice differs from the raw lesson total.

Issue and send

When the invoice is correct, issue it. The family should receive or see the invoice according to your communication and portal settings. If online payment is enabled, the payment path should be clear. If payment is manual, make sure the payment instructions are accurate.

After issuing

Monitor payment status, reminders, aged debt, and any parent queries. If an invoice needs correction after issue, use the appropriate edit, credit note, or adjustment workflow rather than silently changing the business history.

Common mistakes

  • Issuing invoices while lessons are still marked Scheduled.

  • Billing the wrong parent because family links are incomplete.

  • Editing invoice lines to compensate for bad source data without fixing the source record.

  • Sending payment requests before Stripe or payment instructions are ready.

Troubleshooting

If expected lessons are missing, check date range, attendance, family links, student status, package rules, and whether they were already invoiced. If a parent cannot pay, check invoice status, payment method, Stripe connection, and any authentication or SCA requirement. If a payment is made but the invoice remains unpaid, check whether the webhook or manual reconciliation path has completed.

Expected outcome

An issued invoice should clearly explain what is being charged, reflect the underlying teaching and policy decisions, and give the family an understandable way to pay or query it.
