Understand alerts, tasks, and operational shortcuts
Use this when... you open TuitionFlow and need to decide what needs attention first: lessons happening today, unpaid invoices, compliance gaps, unread messages, trial enquiries, or setup actions that are blocking normal operations.
Before you start... make sure you are signed in as an owner, admin, or manager. Some shortcuts only appear if your role can manage billing, compliance, people, or settings.
Start on the dashboard: it is designed as the daily triage screen for an admin team.
What the dashboard is for
The dashboard is not meant to replace the specialist sections of TuitionFlow. It gives you a short, operational view of the things most likely to need action today. Use it at the start of the day, before a busy teaching block, and again when reconciling billing or follow-up work.
Read the dashboard from top to bottom. The top cards usually show the highest-level signals, such as session volume, revenue, invoices, compliance, or current tasks. The lists underneath are more specific and help you jump straight to the record that needs work.
Step 1: Check today's lesson activity
Look for cards or lists that summarise today's scheduled sessions. Confirm that the number looks sensible for the day and scan for any cancelled, missing, or unusual sessions. If the count is lower than expected, open Scheduling and check whether the lesson series was paused, cancelled, or created for the wrong date.
Expected outcome: you know whether today's teaching schedule is ready, whether any sessions need attendance follow-up, and whether a tutor or family needs contacting.
Step 2: Review urgent billing prompts
Billing shortcuts help you spot work such as draft invoices, unpaid balances, failed payments, or aged debt. Use these prompts to move into Billing or Invoices instead of searching manually through family records.
Open Billing from a dashboard prompt when the issue is financial rather than lesson-related.
Expected outcome: you can quickly separate work that needs an invoice, work that needs a payment chase, and work that should be checked against attendance or credits first.
Step 3: Use compliance and safeguarding signals carefully
Compliance alerts should be treated as prompts to review the relevant record, not as a full case history. Open the Compliance section before taking action, especially for DBS, consent, learning needs, GDPR, safeguarding, breach, or document-related work.

Expected outcome: compliance work is followed up in the correct area, with sensitive information handled only by users who need access.
Step 4: Follow messages and lead shortcuts
If the dashboard shows unread or recent communication, open Messages before making operational changes. A parent may have already explained a cancellation, payment delay, trial request, or attendance concern. For new enquiries, use the Leads area so the trial and conversion process stays visible.
Check conversation context before editing lessons, invoices, or people records.
Common mistakes
Treating the dashboard as the source of every detail. Use it to find work; use the linked section to complete the work.
Ignoring role permissions. If a teammate cannot see a prompt, check their role before assuming the data is missing.
Acting on billing before checking attendance. If a charge depends on whether a lesson happened, verify the session first.
Handling sensitive notes in general messages. Move safeguarding or compliance work to the appropriate record.
Troubleshooting
A card looks wrong: refresh the page, then open the specialist area behind the card. If the specialist area also looks wrong, check filters, date range, branch, and whether the record belongs to the current organisation.
A shortcut opens an empty list: clear filters in the destination section. A saved filter or branch filter can hide the item you expected to see.
A teammate cannot use a shortcut: check their role and permissions. Billing, compliance, settings, and some people-management actions are intentionally restricted.
Next actions
After reviewing the dashboard, open the section that owns the work: Scheduling for lessons, Billing for invoices and payments, Compliance for checks and sensitive records, Messages for communication, Leads for enquiries, and Settings for configuration.
