Get around TuitionFlow as an admin

Learn how the TuitionFlow admin app is organised, what each sidebar section is for, and where to go for everyday operations.

Use this when…

Use this guide when you are new to the TuitionFlow admin app, training another team member, or trying to work out where a task belongs. It explains the main navigation in practical terms so you can move around the system confidently.

Before you start…

You need an owner, admin, manager, or coordinator account. If you can only see a tutor, parent, or student portal, you are signed in with a portal role and will not see the full admin sidebar.

The admin app at a glance

TuitionFlow is organised around the work a tuition business does every day: looking after learners and families, scheduling lessons, recording teaching activity, billing, compliance, communication, growth, and settings. The left sidebar is the main way to move between these areas. Your account menu is used for your own profile and organisation settings.

Main

The Dashboard is your operational home. Start here when you want to understand what needs attention today: upcoming sessions, unpaid invoices, compliance reminders, lead activity, lesson reports, and other shortcuts. Treat the dashboard as a triage screen rather than a place where every record is managed in full.

People

People is where you manage the records behind your tuition business. Families brings parents and students together, Employees stores tutors and internal staff, and Safeguarding gives admins a dedicated place for sensitive welfare information. If something is about who a person is, how they are linked, or what support they need, it usually starts here.

Teaching

Teaching covers the lesson workflow. Use Scheduling for sessions and recurring series, Lesson Reports for tutor write-ups and parent-visible reports, and Assignments for work set outside lessons. The normal flow is: create or import the session, run the lesson, record attendance, write the report, and follow up with any assignment or message.

Operations

Operations brings together Billing, Reports, and Compliance. Billing is where you issue invoices, review payments, check aged debt, and manage payouts. Reports gives you operational and financial analytics. Compliance covers checks, consent, documents, GDPR work, incidents, and audit activity.

Communication

Messages is used for direct conversations with parents, tutors, and students where enabled. News & updates is for broader announcements. Use messages for individual context and announcements for information that many people need to see.

Growth

Growth contains Leads and Reviews. Leads is your pipeline for enquiries, trial lessons, and converting prospects into families. Reviews helps you request, moderate, and reuse feedback. Some growth features depend on the organisation plan.

Settings

Settings is where you configure how TuitionFlow behaves: organisation details, branding, billing rules, scheduling policies, onboarding, custom fields, lists, integrations, developer access, and website tools. When a workflow feels wrong for every future record, check Settings before changing individual records one by one.

Common mistakes

  • Using the dashboard as the only source of truth. It is a summary; use the section pages for full records.

  • Creating duplicate people instead of checking Families, Students, Parents, and Employees first.

  • Changing billing or scheduling behaviour on one record when the underlying policy should be changed in Settings.

  • Looking for portal-only features in the admin app. Parents, students, and tutors have their own portal views.

Troubleshooting

If a section is missing, check your role and plan. If a page redirects to billing, the feature may require a higher plan. If counts or lists look stale after a change, refresh the page and check whether the record is filtered by status, date range, branch, or search text.

Expected outcome

After reading this article, an admin should know where to begin a task, which section owns each workflow, and when to move from a summary screen into a detailed record.
