Use this guide when you are setting up a new TuitionFlow organisation, preparing a demo workspace, or checking whether your account is ready for live lessons. It focuses on the admin settings that affect future records and day-to-day workflows.
Before you start…
You need owner or admin access. You should know your organisation name, billing model, lesson policies, public contact details, and which integrations you intend to use. If you plan to take online payments, have the Stripe Connect owner available because some steps must be completed by the Stripe account holder.
1. Check the organisation overview
Open Settings and start with the overview and organisation details. Confirm the company name, contact information, trading details, and any public-facing identity fields. This information can appear on invoices, portal pages, emails, privacy pages, and other student or parent-facing surfaces. Use clear business details rather than personal shorthand.
2. Add branding
Go to Branding to upload logos and choose how your brand appears in the app. Use a full-colour logo for light backgrounds and a high-contrast or white logo where the sidebar or top bar uses a darker brand colour. Check the preview before saving. If your logo is too detailed, create a simplified icon for small surfaces.
3. Review billing settings
Open Billing and decide how the organisation bills families and pays tutors. Check your payment model, invoice details, payment terms, cancellation treatment, and whether Stripe Connect is configured. Billing decisions should be made before you issue live invoices because they affect payment routing, invoice text, and operational reporting.
4. Configure scheduling rules
Use Scheduling settings to check lesson defaults, cancellation windows, session types, online lesson provider preferences, and recurring series behaviour. Make sure staff understand the attendance statuses you will use. A consistent attendance policy is important because billing, lesson reports, parent communication, and tutor payments all depend on the recorded outcome.
5. Prepare people and onboarding settings
Before inviting families or tutors, review onboarding settings, custom fields, forms, and lists. Decide what information you need from parents, students, tutors, and employees. Keep required fields focused: ask for the information that changes how you teach, safeguard, bill, or communicate.
6. Connect integrations
Go to Integrations to connect services such as Stripe, QuickBooks, Google Calendar, Zoom, Teams, or other supported tools. Connect only the services you are ready to use. If an integration requires an external account, complete the connection with the person who owns that external service.
7. Create initial records
Add a small controlled set of families, students, tutors, and sessions before importing or inviting everyone. Use this pilot data to confirm the full path: scheduling, attendance, lesson reporting, invoicing, messaging, and portal access. Once the pilot works, expand to the wider team and family list.
Common mistakes
Inviting families before branding, policies, or forms are ready.
Connecting Stripe after issuing invoices, which can leave payment expectations unclear.
Creating custom fields for every nice-to-have detail instead of information your team will actively use.
Skipping cancellation and attendance policy decisions until after the first missed lesson.
Troubleshooting
If a setting does not appear, check your role and plan. If a connected service fails, disconnect and reconnect only after confirming the external account is correct. If invoice or portal details look wrong, update the organisation settings and then regenerate or reissue affected documents where necessary.
Expected outcome
After setup, your team should be able to add people, schedule lessons, record outcomes, communicate with families, and bill without changing core policies mid-flow.
