Use this when... you need reports for tax preparation, accountant review, tutor expense checks, finance reconciliation, or internal management reporting.

What these exports are for
Tax and expense exports help finance owners move from day-to-day operations into accounting review. They may include invoice totals, payment totals, refunds, credits, tutor payouts, pay adjustments, expenses, tax categories, and branch-level summaries.
These exports are sensitive. They can contain parent, tutor, and payment information. Treat them as finance records and store them carefully.
Step 1: Confirm the reporting period
Choose the date range your accountant or finance process needs. Confirm whether the report is based on invoice date, payment date, lesson date, payout date, or expense date.
Expected outcome: the export period matches the accounting question you are trying to answer.
Step 2: Choose the report type
Select tax, revenue, payment, payout, expense, or tutor-pay data as needed. Avoid exporting everything if a narrower report will do. For tutor expenses, check whether the expense is approved, reimbursable, taxable, or only recorded for internal tracking.

Step 3: Review exceptions
Before exporting, check refunds, credits, voided invoices, manual adjustments, unpaid balances, and unusual tutor pay lines. These exceptions often explain why totals differ from expectations.
Step 4: Export and store securely
Generate the export, open it, and check the period, totals, headings, and row count. Store it in an approved finance location with a clear file name. Share it only with authorised finance staff or accountants.
Common mistakes
Using invoice date when payment date is required. Confirm the accounting basis first.
Mixing tutor pay and parent revenue. They answer different questions.
Ignoring credits and refunds. These can materially change tax and revenue totals.
Sharing exports casually. Treat finance exports as sensitive documents.
Troubleshooting
The accountant says totals do not match: compare date basis, tax treatment, credits, refunds, payment status, and any manual adjustments.
A tutor expense is missing: check approval status, date range, tutor filter, and whether the expense was recorded in the correct area.
The report includes too much personal data: use a narrower export or remove unnecessary columns only after preserving the original file for audit where needed.
Finance handoff checklist
Include reporting period, export type, date basis, currency, tax assumptions, known exceptions, and contact person. This reduces back-and-forth with the accountant and helps future admins understand what was sent.
Retention and cleanup
Keep exports according to your finance retention policy. Remove local copies from downloads folders when they are no longer needed. Do not leave finance reports on shared desktops or broad team drives.
Tutor expense review
Review tutor expenses for approval status, date, category, amount, description, and supporting evidence. If an expense is rejected or adjusted, record the reason clearly. Tutors should be able to understand what was accepted, what was not, and what they need to provide next time.
Accountant handoff
When sending tax or expense data to an accountant, include a short note explaining the export basis. Mention whether figures are cash or accrual style, whether VAT or tax categories are included, and whether there are known exceptions still being resolved.
Confidentiality
Tax and expense files may reveal parent revenue, tutor earnings, and business performance. Store them with finance permissions, not in general admin folders. Remove unnecessary local downloads after upload.
Pre-export cleanup
Run this cleanup before each month-end, year-end, accountant handoff, or tax export. Before sending files externally, check for obvious cleanup items: draft invoices that should be issued, duplicate tutor expense entries, missing approval notes, voided records in the wrong period, or refunds without clear references.
Approval notes
If the export supports payroll, tax filing, management review, year-end accounts, or accountant review, record who approved it and when, plus any known caveats, exceptions, exclusions, timing assumptions, or adjustments. This makes later questions easier to answer.
